How does an AI phone assistant actually work?
What happens between a caller's first word and the summary in your inbox, where the assistant's knowledge comes from, and what happens to your callers' data. In plain words.
Most people have met a phone robot: “for opening hours, press 1”. An AI phone assistant is something else. There is no menu. The caller simply talks, and the assistant answers.
That raises fair questions. How does it understand? Where do its answers come from? And what happens to what your callers say?
Here is how it works, step by step, without the jargon.
What happens during a call
From the caller’s side, it is an ordinary phone call. Behind it, five things happen.
- The call arrives
During the hours you set, the assistant picks up. Outside them, the caller hears a short message and can leave a voicemail, which is emailed to you.
- It listens
Speech recognition turns what the caller says into text as they speak. You can give it a short list of words to get right, such as your product names or your street.
- It works out the answer
A language model reads that text alongside your business information and decides what to do: answer, ask a question, book an appointment or take a message.
- It answers out loud
A natural-sounding voice, which you choose, speaks the answer. Its tone follows the conversation: calm with someone worried, brisk with a quick question.
- You get a summary
When the call ends, you receive an email: who called, why, and what needs doing, with the caller’s number one tap away. A text message is possible too.
Steps two to four repeat for every sentence, fast enough for the conversation to flow. The caller can change their mind or ask something else, and the assistant follows.
Where its knowledge comes from
An AI assistant does not know your business by magic. It knows exactly what you give it, and nothing more:
- Your website. During setup, Voko reads your site and writes a short briefing: what you do, your services, how to reach you.
- Your own notes. Prices, parking, what to bring to a first appointment, which questions to pass on. Written in plain words, the way you would brief a new colleague.
- Your opening hours and closures. Public holidays included, so it never tells a caller you are open on a day you are not.
- Your calendar. Once connected, it sees your real free slots and books straight into them.
When a question falls outside all that, it does what a good new colleague would: it says it does not know, and offers to pass the question on. It never makes up a price, an opening time or an address.
What it does, in practice
Most calls to a small business are one of a handful of things. The assistant handles each:
- The everyday questions. Opening hours, address, parking, the price of a service if you have given it.
- Appointments. Booking, moving and cancelling. It only offers times your calendar shows as free, and only confirms once the booking is really made.
- A proper message. Name, number and reason, with the number read back to be sure.
- An urgent call. Passed to a number you choose, under the condition you set: a burst pipe, say, or a customer who needs you now.
- Your callers’ language. French, German, English, Italian, Spanish or Portuguese, switching as soon as the caller does. Swiss German is available as a beta.

What it will never do
An assistant that answers your phone speaks in your name, so it works inside fixed rules. Most of them you set yourself. These three, no instruction of yours can switch off:
- No professional advice. Never medical, legal, tax or financial advice, and never a word on what insurance covers. It takes a message for the right person instead.
- No invented answers. If it is not in its information, it does not say it.
- No pretending. Asked whether it is a person, it says plainly that it is an automated assistant.
And if someone describes a life-threatening emergency, it tells them to call 144 straight away.
Privacy, built in rather than bolted on
A phone call carries personal information: a name, a number, sometimes the reason someone needs to see a doctor. What happens to it matters as much as the answers. At Voko, these choices are made for you from the start:
- The audio is not recorded by default. The conversation is processed as it happens, and no recording of the call exists afterwards. If you switch recording on, the assistant tells callers at the start of the call.
- Details do not linger. The caller’s number and the summary are erased after 30 days by default, or after the delay you choose. What stays is what billing needs: the date, the duration and the minutes.
- Your calls do not train AI. Our terms say it in so many words: your callers’ data is used to provide the service, never to train models.
- Every provider is named. Our privacy policy lists each company involved and its country, the American ones included, rather than a vague line about partners.
- Your data stays yours. From your account, you can export everything as a file, or delete it all.

Setting it up is a conversation, not a project
You do not need to understand any of the above to use it. Setting up an assistant means answering a few questions: your website, the language, the voice, and where summaries should go. The questions take about two minutes.
