Medical practices

The phone rings. You are with a patient.

Voko steps in when your front desk is busy, at lunch, or after hours. The assistant books appointments, takes reschedule requests, and sends you a written summary after every call.

The four calls that come in every day

Your front desk knows them by heart. Voko handles them when the line is busy.

Book or move an appointment

Voko offers the free slots, notes the patient's choice, and passes on the request. The patient gets a written confirmation.

Answer practical questions

Opening hours, address, directions, what to bring, how to request a certificate. Only what you have put in its knowledge base.

Route an emergency

For a life-threatening emergency, Voko points straight to 144. Other urgent calls can be transferred to a number you choose.

Send a written summary

After every call, the practice gets who called, what they needed, and what was agreed. Nothing to listen back to.

The context

In a practice, nobody's sole job is the phone

The large majority of Swiss medical practices are solo practices, and the person who picks up is the same one preparing the room and greeting the next patient.

  • 72%

of Swiss medical practices are solo practices

  • 14,200

medical practices and outpatient centres recorded in Switzerland

  • 1.8

full-time-equivalent non-medical staff, on average, per practice

What it will never do

These rules cannot be switched off

These four rules are part of the base every Voko assistant is built on. They are regenerated on every save, so they cannot be erased by accident when the practice edits its own instructions.

No medical advice

The assistant does not diagnose, comment on a symptom, or weigh in on a treatment.

144 for a life-threatening emergency

If the situation described puts a life at risk, the assistant stops and points to emergency services.

It says it is an automated assistant

If a patient asks whether they are speaking to a person, the answer is clear and immediate.

It never invents an availability

Not a time, an address, or a price. What it does not know, it notes and passes on to you.

The practice's voicemail, and Voko

A patient who reaches voicemail at 8:05am rarely calls back. They call the next practice.

Voicemail

  • The patient hears a message and hangs up
  • Nobody knows who called or why
  • Messages get replayed one by one between patients
  • An emergency waits for the next check

Voko

  • The patient has someone on the line
  • Every call arrives written up
  • The appointment is already booked by the time you read the message
  • A life-threatening emergency is routed to 144 immediately
Questions

What practices ask before signing up

The questions that come up most often before a practice signs up.

Does the assistant give medical advice?

No, never. That is a rule in the assistant's base, not a setting to switch on. It does not diagnose, comment on a symptom, or weigh in on a treatment. It notes the request and passes it to the practice.

What happens if a patient calls about an emergency?

If a life is at risk, the assistant points straight to 144. For other cases, you can set up a transfer to a number of your choice, such as the on-call doctor, with the condition that triggers it.

Does this replace my front desk?

No. Voko takes the calls your team cannot: during a consultation, over lunch, in the evening, and on weekends. The work that needs knowledge of the patient and their file stays with the practice.

What happens to patient data?

You choose how long calls are kept, and you can delete a call or all data from your account at any time. The privacy page details where data is processed and by which processors.

Can it transfer a call to someone at the practice?

Yes. You set a destination number and the condition that triggers the transfer. Without a condition, the assistant does not transfer: a standing transfer would just make the phone ring again, the exact thing you were trying to stop answering yourself.

Call it the way a patient would.

Two minutes is enough to know if the voice and tone fit your practice.
