At the office

The four calls that come in every day

Your front desk knows them by heart. Voko handles them when the line is busy, especially in tax season.

Book an appointment

Voko offers the free slots, notes the client's choice, and confirms the appointment in writing.

Answer practical questions

Opening hours, address, what to bring, filing deadlines. Only what you have written down.

Take on a new client

Voko notes what the caller is looking for in a sentence, without asking any accounting questions, and passes it to the office.

Send a written summary

Who called, what they needed, what was agreed. Nothing to listen back to between files.

What it will never do

These rules cannot be switched off

They are part of the base every Voko assistant is built on and are regenerated on every save, so editing the office's own instructions cannot erase them.

No tax or accounting advice

The assistant never weighs in on a deduction, an amount owed, or a strategy. It notes and passes on.

Never a made-up figure

A tax amount or a fee is not something an assistant states on the phone. It notes the question and passes it to you.

Nothing on an existing file

The assistant never discusses the content of an ongoing client file. A call about one is passed to the office exactly as received.

It says it is an automated assistant

If a client asks whether they are speaking to a person, the answer is clear and immediate.

The office's voicemail, and Voko

In the middle of tax season, a caller who reaches voicemail rarely calls back. They call the next fiduciary.

Voicemail

  • The client hears a message and hangs up
  • Nobody knows who called or why
  • A potential new client goes to a competitor
  • Messages pile up while you're working through files

Voko

  • The client has someone on the line
  • The appointment is already noted by the time you read the message
  • Every call arrives written up
  • A new client is qualified without interrupting you
Questions

What offices ask before signing up

The questions that come up most often before an office signs up.

Can the assistant answer a tax question on the phone?

No, never. That is a rule in the base, not a setting. It notes the question and passes it to the office, which then responds.

What does it do if the call is about an ongoing file?

It notes what is said and passes it to the office without commenting on the file. It has no access to any client file.

Does this replace my front desk, especially in March?

No. Voko takes calls your front desk cannot answer in the middle of tax season: between files, in the evening and at weekends.

What happens to client data?

You choose how long calls are kept and can delete everything from your account at any time.

Can it transfer a call to the office?

Yes, to a number you choose, with the condition that triggers it. Without a condition it does not transfer.

Call it the way a client would.

Two minutes is enough to know whether the tone fits your office.
