At the office

The four calls that come in every day

Your front desk knows them by heart. Voko handles them when the line is busy.

Book an appointment for a deed

Voko notes the type of deed in a sentence, offers a slot, and confirms the appointment in writing.

Take a status question on a file

Voko notes the caller's question and passes it on, without ever commenting on the file's status itself.

Answer practical questions

Opening hours, address, what to bring to an appointment. Only what you have written down.

Send a written summary

Who called, what they needed, what was agreed. Nothing to listen back to between appointments.

What it will never do

These rules cannot be switched off

They are part of the base every Voko assistant is built on and are regenerated on every save, so editing the office's own instructions cannot erase them.

No legal advice

The assistant never weighs in on a deed, a clause, or a course of action. It notes and passes on.

Never a stated deadline

A statutory deadline is not something an assistant states on the phone. It notes the question and passes it to the office.

Nothing on a file's status

The assistant never says where a deed in progress stands. A call about it is passed to the office exactly as received.

It says it is an automated assistant

If a caller asks whether they are speaking to a person, the answer is clear and immediate.

The office's voicemail, and Voko

A caller who reaches voicemail during a signing rarely calls back at the right moment. They call the next notary office.

Voicemail

  • The caller hears a message and hangs up
  • Nobody knows who called or why
  • An appointment request waits for the next check
  • Messages get replayed one by one between deeds

Voko

  • The caller has someone on the line
  • The appointment is already noted by the time you read the message
  • Every call arrives written up
  • A question on a file is waiting, with no comment added
Questions

What offices ask before signing up

The questions that come up most often before an office signs up.

Can the assistant give advice on a deed over the phone?

No, never. That is a rule in the base, not a setting. It notes the request and passes it to the office, which then responds.

What does it do if the call is about an ongoing file?

It notes what is said and passes it on without commenting on the file's status. It has no access to any file.

Does this replace my front desk?

No. Voko takes calls your front desk cannot: during a signing, in the evening and at weekends.

What happens to caller data?

You choose how long calls are kept and can delete everything from your account at any time.

Can it transfer a call to the office?

Yes, to a number you choose, with the condition that triggers it. Without a condition it does not transfer.

Call it the way a client would.

Two minutes is enough to know whether the tone fits your office.
